Records management. The Royal Berkshire NHS Foundation Trust requires a supplier to provide a secure off site storage and management of an archival system for records including medical records. This is to include the maintenance of records in accordance with specified standards including audit trails, retrieval of records on request, the storage of additional records from the Trust, destruction of records, and the maintenance of a robust operating system which may include access for Trust Staff. The Trust currently uses 3 suppliers and it is the Trusts aim to consolidate all records with one supplier. There is also a requirement for the supplier to be able to digitise records which will be listed in the tender as an option. The Trust will reserve the right to not award a contract for the digitising of records. The contract is due to start on the 1st October 2011 with the contract length being for 5 years with the option to extend for a further 2 years on a 1 plus 1 basis. With the introduction of an Electronic Patients Record system with its phase one due this year volumes may reduce progressively.
