PI1300381 Collections Management (Prior Information Notice).

The UK Houses of Parliament (HOP) are looking at options for the procurement of a single new IT solution for managing Parliaments collections of artwork, historic furniture, decorative art and architectural salvage. Currently there is limited ICT capability in Parliament to provide collections management, although there are four systems which provide support for some aspects of the management of our collections. These systems are Minisis, Hardcat, Cardbox and Moveman. This PIN (Prior Information Notice) is issued to notify suppliers that Parliament will be holding a supplier event to explain Parliaments requirements for a single new IT solution for a Collections Management system. There will be a presentation to explain the requirements of the Collections Management system as currently envisaged, followed by a question and answer session where suppliers can ask questions of Parliamentary business users and technical experts, helping suppliers to decide whether they wish to tender. Suppliers interested in attending this supplier event need to note that their product must be SPECTRUM or equivalent compliant and it should be able to meet Parliaments current high level requirements, identified in the high level requirements document. The current estimated value of the contract for the design, install, implementation and support of the new Parliamentary Collections Management system will be between GBP 50k to GBP 160k; dependent on the functionality and ongoing support offered. Suppliers that are interested in participating in Parliaments Collections Management IT solution supplier event are asked to reply, sending back the questionnaire available under the PIN stage of this project, via our In-Tend procurement portal. Responses would be appreciated within 21 calendar days of the issue of this notice in order to assist Parliament with organising and holding the supplier event. The format and timing of the supplier event will be dependent on how many suppliers respond to the PIN. If a supplier is unable able to respond within 21 days, a further supplier event or meeting will be held dependent on interest.
