Archiving Police Fatal Road Accident Traffic Reports - Phase 7.

Data capture services. Records management. The Department for Transport wishes to commission a project to code and dispose of police fatal road traffic accident reports for DfT to use in accident research. This contract aims to set in place an efficient system to manage the closure of the archive. The objectives of the proposed work are to manage the closure of the current archive including secure destruction or return of all files including files relating to minors in the most cost effective way by: — coding the relevant data fields of a sample of the archive (~500 files), including in a format compatible with detailed electronic in-depth data on road accidents the department already holds, and scanning the remaining data on the selected sample, — disposing of the archive entirely, including files that relate to minors as cost efficiently as possible, — when agreed, to inform the police that DfT are no longer collecting files and deal with any queries from them about the existing files in the archive It is anticipated that this will be a one year contract with key milestones.
