University of the Arts London - Effective Timetabling & Booking Management System.

System management software development services. 1. Introduction - Current use of Timetabling and Room Booking software is inconsistent across the University's 6 main Colleges and Central Services departments. It is the ambition of University of the Arts London to select and implement a single software solution to allow all Timetabling and Room Booking activity to be effected, accordingly. It is intended that a single solution must provide students, staff, administrators and management, a centralised system from which information can be selected and delivered according to individual and institutional need. It is also a prerequisite of the intended solution that it must integrate seamlessly with extant UAL systems, which holds data on students, staff and accommodation. The University currently operates a mixed computing environment with a large number of staff and students having Apple Macintosh computers as their primary tool, the remainder using PCs. It is therefore essential that the selected solution can allow users to operate in either environment. It is also our ambition to have Timetables and Room Bookings published dynamically using MS Exchange as the conduit, allowing timetables to appear in Calendars on computers and hand-held devices and tablets which support Exchange feeds. The University wants to retain the flexibility of having the system operated either by centralised teams of administrators, constructing Timetables and Room Bookings from central units on behalf of academics, or by a distributed model where Academic staff input requests directly into the system themselves. 2. Summary Requirement 1. Full integration of a Timetabling and Room Booking system in a seamless manner with other existing systems and technologies (as listed above). 2. Provision of increased flexibility and agility in response to both institutional strategy and technology changes and so creating a dynamic and flexible real-time Timetabling and Room Booking System 3. A system which will allow individual-level timetables to be created for students, staff, cohorts of students and facilities 4. A request submission template which allows those requesting to input requirements according to a structured and controlled input form 5. An interface and style which is attractive, intuitive and simple to use for a highly design-sensitive staff base 6. A system which provides comprehensive de-clashing tools for ensuring efficient timetabling and space allocation 7. A system which publishes information to MS Exchange for subsequent dissemination to other calendar and email systems 8. A system which has the ability to customise the printed and dynamic outputs of the system 9. A cost/license model that will allow for expansion of use and provide value for money.
